How AI scheduling tools handle reschedules and cancellations
Short answer: links (Calendly, Reclaim, Cal.com) give guests the simplest self-serve reschedule. Assistants you cc handle moves in the email thread, and OpenAssistant (ours) documents these rescheduling features: it rebooks, tells everyone, updates the invite, and takes a running-late text. Skej (ours) documents reschedules by email, text and WhatsApp.
This page maps what each vendor’s public pages say about changing or cancelling a booked meeting. These are vendor claims, not results, so read it as a checklist of what is documented.
Why this matters
Booking the first meeting is the easy part. The hard part comes later:
- The guest asks to move it.
- One of four attendees drops out.
- Your CEO lands on top of it.
- You’re running late.
Each of these should end with one correct calendar event, everyone told, and the video link still working. The failures to watch for are an old event left behind, a duplicate, a dropped attendee, or a lost agenda.
What each vendor says it does
All from the vendor’s own pages.
| Product | Who can reschedule or cancel, and how | Source |
|---|---|---|
| OpenAssistant (ours) | “Your assistant rebooks, tells everyone, and updates the invite.” Its FAQ says you can text it that you’re running late “and it will tell everyone on the invite.” Its help center recommends saying what must stay unchanged, for example attendees, duration and Zoom link. | OpenAssistant scheduling, OpenAssistant scheduling FAQ, OpenAssistant advanced scheduling, OpenAssistant |
| Skej (ours) | Reply in the thread or email Skej. It either cancels and removes the meeting from all calendars, or proposes new times and asks attendees to confirm, then updates invites. Booking-link guests reply to the confirmation. Also by text or WhatsApp (“Move my 3pm meeting to tomorrow”). Handling several changes in one message is labeled beta. | Skej rescheduling help, Skej booking link help, Skej text help, Skej updates |
| Calendly (links) | Invitees reschedule or cancel from links in their confirmation email, no login needed. Hosts can add a cancellation policy on paid plans. | Calendly FAQ, Calendly pricing |
| Calendly Callie | The invitee can reply to reschedule. “You must approve every change before it happens.” | Callie how-to, Callie overview |
| Reclaim (links) | The attendee’s confirmation page has Reschedule and Cancel. Links are also in the event description. Organizers and attendees get emails when meetings are created, updated or deleted. Round robin “tries to keep the original host.” Smart Meetings “never reschedule automatically.” | Reclaim attendee help, Reclaim 2.0 FAQ |
| Cal.com | Organizer and attendees can cancel with a secure link and reschedule “without back-and-forth emails.” | Cal.com pricing |
| Howie | The homepage shows clearing a day and emailing attendees to rebook. Its undated docs say it can’t update events “that you were invited to by others” or all-day events. | Howie, Howie docs |
| Clara | Loop Clara back in, and it cancels the original invite and sends an updated one. | Clara FAQ |
| Blockit | Its homepage list of edge cases it handles includes declined invites being rebooked and reschedules being moved. | Blockit |
| Copilot in Outlook | Can automatically reschedule personal appointments and 1:1s when conflicts come up, and stops after 5 automatic reschedules. Microsoft’s page doesn’t state the license; other Copilot in Outlook features need a Copilot work license. | Microsoft support |
What the documentation covers
“Documented” means a vendor page describes it. “Not stated” means the pages do not say, which is not the same as “unsupported”.
| Situation | Documented by | Notes from the sources |
|---|---|---|
| Guest moves or cancels from the confirmation | Calendly, Reclaim, Cal.com, Skej (booking links) | Self-serve links in the confirmation, no login for Calendly guests. |
| Guest asks to move it by replying in the thread | OpenAssistant, Skej, Clara, Calendly Callie | Callie requires your approval of every change. Clara cancels the original and sends an updated invite. |
| Host asks the tool to move it | OpenAssistant, Skej (email, text, WhatsApp), Howie, Clara | Skej proposes new times and asks attendees to confirm. |
| One of several attendees drops out | OpenAssistant, Skej, Clara (group changes) | Callie is one-on-one only. |
| A conflict lands on a booked meeting | Copilot in Outlook, Blockit, Reclaim | Copilot reschedules personal appointments and 1:1s automatically and stops after 5. Reclaim alerts you with suggested times. Blockit lists a “Proactive agent” on Lite and up. |
| Running late | OpenAssistant, Skej (by text), Howie | OpenAssistant’s FAQ says it will tell everyone on the invite. |
| An event someone else created | Limit stated by Howie | Howie’s undated docs say it cannot update events you were invited to by others. Other vendors: not documented. |
| Keeping the video link and agenda when moving | OpenAssistant’s help center advises saying what must stay unchanged | Other vendors: not documented. |
Points worth highlighting
- Howie’s docs flag a limit that other vendors’ pages do not address: changing an event someone else sent you. Howie suggests starting a fresh thread instead.
- Callie’s approval step. Calendly says Callie asks for your approval before changing confirmed meeting details, so a reschedule waits for you.
- Link tools versus assistants. Link tools (Calendly, Reclaim, Cal.com) publish self-serve reschedule and cancel links. Their pages do not describe group changes or conflicts without the host. Assistants you cc claim to handle moves in the thread, and Clara, Skej and OpenAssistant claim group changes.
- Where competitors do better. Calendly, Reclaim and Cal.com document the simplest guest experience: a link in the confirmation and no email thread. Our two products rely on thread-based flows that their own help pages describe.
Questions to ask a vendor before you buy
- When a meeting moves, is the old event removed or updated in place?
- Do all remaining attendees get a notice, in their own time zone?
- Are the video link, agenda and location kept?
- What happens when the tool is asked to change an event someone else created?
- What does it do when a guest moves a meeting at the last minute, inside your notice rule?
- What does it tell you when it cannot do what you asked?

Frequently asked questions
Can an AI scheduling assistant reschedule a meeting for me?
Yes. Skej, OpenAssistant, Clara and Howie all document moving a meeting from the email thread. OpenAssistant also takes a running-late text and tells everyone on the invite. Calendly’s Callie requires your approval of every change.
Can guests reschedule or cancel on their own?
Yes, with booking links. Calendly, Reclaim, Cal.com and Skej booking links let guests reschedule or cancel from the confirmation, and Calendly guests need no login.
What happens when one attendee drops out of a group meeting?
Clara, Skej and OpenAssistant describe group changes. Callie is one-on-one only, and link tools’ pages do not describe group changes without the host.
What should I ask a vendor about reschedules?
Ask whether the old event is removed or updated, whether everyone is told in their time zone, whether the video link and agenda are kept, and what happens to events someone else created.
