Best AI interview scheduling tools for recruiters
The short answer
GoodTime is an assistant we recommend for large teams, and the scheduling inside Greenhouse or Ashby is the best starting point if you already use one. For a small team or agency recruiter who lives in email, Skej (ours) can take the candidate back-and-forth, but it has no ATS sync.
Interview scheduling is harder than ordinary meeting scheduling. One onsite can mean five interviewers, a candidate in another time zone, a declined invite the night before, and an ATS that has to stay in sync. The tools that handle all of that well are built for recruiting and plug into your ATS.
- Hiring at scale with panel loops: GoodTime or ModernLoop.
- Already on Greenhouse or Ashby: check the scheduling you already pay for before buying anything.
- High-volume hourly hiring by text: Paradox.
- Phone screens on a budget: Calendly.
- A small team or agency recruiter who lives in email and has no ATS scheduling: Skej (ours) can take the back-and-forth. It has no ATS sync, which rules it out for most in-house teams.
How the ranking works
The ranking below is an editorial judgment based on published features and pricing, considered qualitatively for this use case: documented capabilities, what the vendor says about quality and results, price, where it works, and privacy and admin controls.
The list
1. GoodTime
Best for: large teams running multi-interviewer loops across many ATSs.
- Panels and loops. Schedules single-day, multi-day and panel interviews (GoodTime).
- AI agent. GoodTime’s agent, Cori, screens candidates, schedules interviews, resolves conflicts and follows up, by GoodTime’s description (GoodTime).
- Interviewer management.
- When an interviewer declines, GoodTime “instantly replaces them with the next best fit”.
- It balances load “based on availability and workload limits” (GoodTime Hire).
- It picks interviewers on skills, load, time zone and training status.
- Candidates can schedule and reschedule on mobile (GoodTime Hire).
- ATS coverage includes these named integrations: Workday, SAP SuccessFactors, iCIMS, Greenhouse, SmartRecruiters, Lever, Jobvite and Ashby (GoodTime).
- Price. Contact sales. It’s priced “based on the number of candidates annually, not the number of users,” with all integrations included (GoodTime pricing).
- Security. GoodTime claims SOC 2 Type II and ISO 42001, and offers EU data hosting (GoodTime).
Watch out for: no public price, so budget for a sales cycle.
2. The scheduling inside your ATS (Greenhouse, Ashby)
Best for: teams already on one of these ATSs.
Greenhouse
- What’s included. The pricing page marks scheduling suggestions, scheduling links, candidate self-scheduling, automation rules, interviewer limits and candidate reminders as included on Core, Plus and Pro (Greenhouse pricing).
- Interviewer handling. Recent updates auto-replace declined interviewers from the same group, now including on Outlook. Buffers apply across every workflow (Greenhouse scheduling update).
- Price. Custom.
Ashby
- Base plan. All plans include booking links, candidate availability links, stage-based automation, daily or weekly interviewer limits, and candidate-facing reschedule and cancellation reasons (Ashby pricing).
- Advanced Scheduling add-on. The AI Auto-Scheduler, auto-replacement of declined interviewers and calendar holds come in a separate add-on. It’s not available on Foundations, it’s a paid add-on on Plus, and it’s included in Enterprise (Ashby docs).
- Price. Foundations runs from $300 to $900 a month depending on company size (Ashby pricing).
Watch out for: native tools only work inside that ATS. If you run several ATSs, a dedicated tool fits better.
3. ModernLoop
Best for: coordinators who want scheduling to start itself when candidates change stage.
- Zero Click Scheduling. As candidates move through ATS stages, ModernLoop sends interview requests and candidate emails automatically (ModernLoop).
- Interviewer handling. It “balances workloads to prevent burnout,” handles group and panel interviews, and supports shadow and trainee interviewers (ModernLoop scheduling).
- ATS coverage. Greenhouse, Lever, Ashby, Workday and SmartRecruiters. iCIMS is listed as “Coming soon” (ModernLoop integrations).
- Price. Not published. The site offers demos only.
Watch out for: no iCIMS yet, and no public price.
4. Gem
Best for: startups that want sourcing, CRM and scheduling in one place.
- Scheduling on all plans. A self-scheduling portal, multi-day and panel scheduling, availability requests, interviewer limits, automated follow-ups and Slack alerts (Gem pricing).
- Add-ons. Load balancing across teams, advanced capacity management and cross-team workflows cost extra. All plans include interviewer limits and interviewer training programs (Gem pricing).
- ATS write-back. Gem writes interviews back to the ATS and “integrates natively with Greenhouse, Lever, and Gem ATS” (Gem scheduling).
- Price.
- The startup calculator showed $130 a month for 1 to 10 employees on a yearly term.
- Companies under 30 employees get All-in-One free for six months (Gem pricing).
- Larger plans are contact sales.
Watch out for: cross-team load balancing is an add-on.
5. Paradox
Best for: high-volume, hourly hiring where candidates reply by text.
- How it reaches candidates. Paradox’s assistant, Olivia, sends qualified candidates interview times over SMS, WhatsApp, chat or email (Paradox scheduling).
- Scheduling. It handles rescheduling for candidates and managers and sends reminders. It also schedules “multi-person, multi-room, multi-location interviews”.
- Languages and time zones. It auto-detects time zones and works in more than 30 languages (Paradox scheduling).
- ATS. It says it integrates with your ATS, with partner pages for Workday and SAP SuccessFactors.
- Price. Not published.
Watch out for: it’s built for volume hiring. It’s overkill for a team hiring ten engineers a year.
6. Calendly
Best for: phone screens and simple hiring manager chats, cheaply.
- What it does. Calendly positions itself for phone screens, hiring manager one-on-ones and group interviews, with automated reminders and follow-ups (Calendly recruiting).
- Inside your other tools. Its browser extension works inside Greenhouse, JazzHR and LinkedIn Recruiter. The Greenhouse integration sends self-scheduling links from Greenhouse (Calendly Greenhouse).
- Price.
- Free plan available.
- Standard is $10 per seat per month on annual billing ($12 monthly).
- Teams, which adds round robin, is $16 annual or $20 monthly (Calendly pricing).
Watch out for: Calendly’s own pages list no load balancing, panel loop building or automatic interviewer replacement. A 2023 Calendly blog post mentions “the recent acquisition of Prelude,” an interview scheduling tool (Calendly blog). Prelude’s own domain now shows a parked page (prelude.co), so what Prelude offers today is unclear.
7. Skej (our product)
Best for: agency recruiters, founders who do their own hiring, and small teams without ATS scheduling. Skej has processed millions of meetings.
- How it works. You cc a Skej assistant on a candidate email. It proposes times from your calendar, handles replies and sends the invite. Skej’s recruiting page pitches interview scheduling, candidate outreach, reference checks and panel coordination by email (Skej for recruiters).
- Internal Autobook. When everyone on your team uses Skej, it books internal meetings, such as hiring manager syncs and debriefs, from their calendars without back-and-forth (Skej Autobook).
- Price. The Free plan has no assistant after a 7-day trial (3 meetings). Pro is $15 per user per month on annual billing ($19 monthly). Premium is $23 or $29 (Skej pricing, Skej plans help).
Where competitors do better, plainly:
- No ATS integration. Skej’s site lists none. Interviews it books won’t write back to Greenhouse, Lever or anything else.
- No recruiting features. No interviewer load balancing, no automatic replacement of declined interviewers, no interviewer training.
- No prioritizing. Skej’s own docs say it doesn’t prioritize contacts or reshuffle meetings on its own (Skej boundaries).
For an in-house team on an ATS, any of the tools ranked above it is a better choice.

Frequently asked questions
What is the best interview scheduling software for recruiters?
For large teams with panel loops, GoodTime lists several ATS integrations worth comparing with your existing system. Teams already on Greenhouse or Ashby should check the scheduling they already pay for first. Paradox suits high-volume hiring by text, and Calendly suits cheap phone screens.
Can AI schedule panel interviews?
GoodTime, ModernLoop, Gem and Paradox all list panel or multi-person interviews. GoodTime’s agent, Cori, schedules interviews, resolves conflicts and follows up, by GoodTime’s own description.
Is there a cheap way to schedule interviews?
Calendly has a free plan, and Standard is $10 per seat per month on annual billing. Gem gives companies under 30 employees its All-in-One plan free for six months. Skej Pro is $15 per user per month on annual billing, for email back-and-forth without ATS sync.
Can Skej schedule interviews?
Yes, by email. You cc a Skej assistant on a candidate thread, and it proposes times from your calendar and sends the invite. It does not sync with an ATS or balance interviewer load.
Try Skej
If you are a small team or agency recruiter who schedules candidates from your inbox, try Skej. It won’t replace an ATS scheduler, but it takes the back-and-forth off your plate.
